    DEFINITION / GENERAL PURPOSE:

    Under general supervision, the Deputy Court Clerk I provides support services to the Municipal Court including scheduling court dockets, maintaining records of the court process, and coordinating assigned activities with the general public.

     

    SUPERVISION RECEIVED AND EXERCISED:

    Works under the general supervision of the Deputy Court Clerk II.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    Performs clerical duties by processing and scanning various court records, reports, citations, summons, warrants and other documents into the computer, ensuring accurate record keeping, transferring electronic and manual tickets into the proper software system.

     

    Mails late notices, summons and restitution checks.

     

    Files paperwork, processing outgoing and incoming complaints from the Police Department, processing and logging incoming information obtained through letters, fax, or email, preparing monthly reports and prepare daily deposits.

     

    Provides customer service to the Public by serving as cashier, colleting fines and fees, answering questions, providing information and answering telephones.

     

    Responds to counter, telephone and written inquiries.

     

    Prepares documents for Court hearings as instructed.

     

    Attends to the jury, and assembling witnesses and jurors.

     

    Assists with Court procedures and processes Court documents by entering plea agreements into the computer, referencing defendant name in software for existing file or making a new file, placing defendants on dockets, instructing defendants on general orders and paperwork.

     

    Initiates related paperwork as needed by defendants to facilitate their response to a citation or complaint.

     

    Must have the ability to work well with others and have a good/pleasant attitude.

     

    Regular and timely attendance is an essential job function.

     

     

     

     

    PERIPHERAL DUTIES:

    Performs other duties as assigned by the Deputy Court Clerk II, Presiding Judge or Court Administrator.

     

    DESIRED MINIMUM QUALIFICATIONS:

    High school diploma or GED equivalent with course work in typing and/or general office practices required;

     

    Two (2) years prior work experience in secretarial, clerical, paralegal or administrative work, including One (1) year in a court environment;

     

    Any equivalent combination of education and experience.

     

    SPECIAL REQUIREMENTS:

    Must obtain Municipal Court Clerk Certification - Level I within eighteen (18) months of hire.

     

    Valid State Driver's License, or ability to obtain one prior to employment.

     

    KNOWLEDGE, SKILLS AND ABILITIES:

    Knowledge of legal language and legal procedures related to municipal court functions;

     

    Knowledge of the collection, accounting and submission of court fines, cost and fees.

     

    Knowledge of general office procedures;

     

    Knowledge of basic bookkeeping practices;

     

    Knowledge of criminal, traffic and infraction procedures;

     

    Knowledge of Windows, MS Word and Excel required;

     

    Skill in the operation of the listed tools and equipment;

     

    Ability to effectively communicate on a one‑to‑one basis with the public;

     

    Ability to maintain effective working relations with employees, other departments, officials and public;

     

    Ability to type and enter data accurately and to maintain accurate records;

     

    Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form;

    Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals;

    Court Clerk I

    Description 

    JOB SUMMARY

    The Town of Little Elm is seeking a detail-oriented, motivated, and customer-focused individual to join our team as a Court Clerk. This position performs a variety of clerical and administrative duties in support of the Municipal Court, under the direction of the Court Administrator. The Court Clerk will have frequent interaction with the public both in person and over the phone, providing assistance regarding citations, complaints, and other court-related matters. Responsibilities include receiving and recording payments for court fees and fines, preparing and routing court documents, and ensuring accurate filing and record-keeping. The ideal candidate will be a self-starter who is organized, thorough, and capable of working independently in a fast-paced environment.     EDUCATION/TRAINING/EXPERIENCE

    1. High School diploma or equivalent. 
    2. Two (2) years relevant experience in Municipal Court or other related field
    3. At least two (2) years of verifiable cash handling experience

     

    ESSENTIAL JOB FUNCTIONS                  

    1. Processes and enters traffic, parking, penal code, and city ordinance violations into the court system.
    2. Accepts and records payments for court fines, bonds, defensive driving certificates, and driving records.
    3. Accounts for and reconciles daily court collections; prepares and submits daily deposits.
    4. Assists in the preparation of court dockets and the issuance of juror summonses, witness notifications, and officer subpoenas.
    5. Schedules court cases for hearings, arraignments, pre-trials, and judge and jury trials.
    6. Performs general office duties including filing, data entry, and other administrative tasks as assigned.
    7. Responds to inquiries from the public, attorneys, litigants, and law enforcement or state agencies in person and via phone.
    8. Performs courtroom clerical duties during hearings, arraignments, and trials, including case processing and documentation.

     

    LICENSES OR CERTIFICATES

    1. Must be bondable.
    2. Prefer Municipal Court Clerk Level 1 Certification.
    3. Must obtain Municipal Court Clerk Level 1 certification within 18 months.
    4. Must possess a valid Texas Driver’s License.

     

    LANGUAGE SKILLS

    1. Ability to read, write, and speak English fluently. 
    2. Bilingual preferred, not required.
    3. Ability to respond to common inquiries or complaints from customers, regulatory agencies or authorities, or members of the local business community.

    JOB DESCRIPTION:

    Under the general supervision of the Court Supervisor, the Deputy Court Clerk provides a remarkable customer service experience while performing general duties in support of the Municipal Court operations.

     EXAMPLES OF WORK TO BE PERFORMED:

    • Provides a remarkable customer service experience to citizens, internal and external customers, by responding to requests in a positive, timely, effective, and professional manner.
    • Will work together as one to establish a healthy working environment by maximizing productivity and boosting team morale.

    • Prepare letters, notices and correspondences for incoming mail, new citations entered, deferred disposition, driving safety courses, juvenile hearings, and juror summons.
    • Prepare court dockets for preliminary hearings and trials.
    • Maintains trial dockets by preparing dockets, notifying defendants, attorneys, officers, complainants and witnesses, preparing and mailing subpoenas, selecting names of prospective jurors, preparing summons and assisting the prosecutor where needed.
    • Attend court sessions on scheduled court dates to provide assistance to the Judge, Prosecutor, attending Attorneys and Defendants.
    • Update status on warrants and prepare warrants for delinquent citations.
    • Maintain confidentiality with regards to all court files.
    • Performs all other related duties as assigned.
    • Demonstrates the desire to learn and the ability to cross-train and perform other duties with the municipal court.
    • Serves as a representative of the court within the community; coordinates and conducts community outreach and education, as assigned.
    • Keep the Court Supervisor informed of all problems and important issues.
